Getting Started
I've been accepted as a presenter, what's next?
Congratulations! Your acceptance email includes the details of your presentation as well as your Conference Harvester portal login. This portal is your one-stop hub for deadlines, presentation requirements, PowerPoint templates, and more. Please log in, review your task list, and submit your materials by the deadlines listed. If you still have questions, contact your PDA program lead.
Who is my PDA program lead?
The PDA program lead is your primary contact for questions about presentation logistics and requirements. Their name and contact information appears at the top of your Conference Harvester portal.
Do presenters receive honoraria or financial support?
No. PDA does not provide honoraria or financial support for presentations. Presenters should plan to cover all their own individual travel, lodging, and meal expenses, if selected to present in-person.
Can I present virtually?
No, all presenters must deliver their presentations live, in-person. There are no virtual presentation options for presenters.
Do I need to register?
Yes. All presenters must register. Detailed instructions are included in your Conference Harvester task list.
My company is exhibiting at the event. Can I just use one of the passes included in their package for my registration?
No. Exhibitor passes included with booth or tabletop packages cannot be used for presenter registration.
Presentation Preparation
Do I need to use the event PowerPoint template?
Yes. To ensure a consistent and professional look across the program, we ask all presenters to use the official event PowerPoint template. You can download the template from your Conference Harvester portal.
My company requires that I use their corporate PowerPoint template. What should I do?
Reach out to your PDA program lead as soon as possible for approval and guidance on incorporating required elements.
What is a session moderator?
A session moderator is a member of the Program Planning Committee that has been assigned to run the session. They will introduce each presenter, keep the session on schedule, and lead the Q&A discussion. Your session moderator will contact you in advance to coordinate session details and provide presentation feedback.
Do I need to share my slides with my session moderator?
Yes. Your presentation must be shared with your session moderator by the posted deadline. This allows adequate time for them to review your presentation and share feedback with you, which ensures alignment with the session objectives. Once your slides are approved by your session moderator, you can submit your final PowerPoint to PDA via your Conference Harvester portal.
What should I do if my PowerPoint is too large to upload?
Contact your PDA program lead to request alternative upload instructions.
How much time do I have to present?
Your presentation length, along with your session date, time, and room name, are listed in your Conference Harvester portal as well as on the event website. As a presenter, you must arrive 15 minutes early to your session, and should plan to stay for 15 minutes after the Q&A ends in case attendees want to speak with you.
Can I include video or polling in my presentation?

Yes. You may incorporate interactive features; however, internet access cannot be guaranteed onsite. Please indicate your plans to use video or polling tools by completing the 'Presentation Engagement Tool Options' task in your Conference Harvester. This helps us ensure the right support is available for your session.

Videos: All videos must be approved by your session moderator before being added to your final presentation. Videos should be embedded directly into your slide deck for smooth playback and a copy of the video file should also be sent to your PDA program lead as a back-up.

Polling: A simple and effective way to engage your audience and encourage participation. PDA uses AhaSlides for polling, but can work with you if you prefer to use a different program.

What are best practices for an effective presentation?
  • Use clear, concise slides with limited text.
  • Incorporate visuals to support key points.
  • Rehearse in advance and practice timing.
  • Speak naturally rather than reading from slides.
  • Aim to engage the audience through case studies, polling questions, or discussion prompts for the Q&A.
I can no longer present at the event. Can someone else present for me?
Contact your PDA program lead as soon as possible to discuss your options.
Can you print handouts for my presentation?
No, PDA does not provide printed handouts for attendees. If you have additional materials you'd like to share with attendees beyond your presentation slides, please contact your PDA program lead for instructions on how to upload electronic handouts that attendees can access digitally.
Onsite Logistics
Where do I check in upon arrival?
Check in at the PDA registration desk to pick up your badge, ribbons, and other event materials.
Is there a presenter ready room?
Most events will have a presenter ready room available where you can review your slides. Visiting this room before your session is strongly encouraged. If a presenter ready room is not available, your PDA program lead will provide details before the event on how to review your slides onsite.
What should I do if I have a last-minute PowerPoint change?
Bring your updated file to the presenter ready room. Only minor edits (e.g., typos, formatting, etc.) should be made without your session moderator's approval. Major content changes require a new approval from your session moderator.
How will the room be set up and what audiovisual technology will be in there?
Each presentation room will be equipped with a projector and screen as well as a/an:
  • Podium with a stationary microphone and a screen where you can view your slides – presenter/notes view is not available
  • Slide advancer – you will control your own slides
  • Presenter timer – to ensure you stay within the time limit for your presentation
  • In-room audiovisual technician
Will there be Q&A?
Yes. The end of each session includes a moderated Q&A. Work with your session moderator to prepare a few seed questions in case the audience needs a jump-start.
Can I use my own laptop to deliver my presentation?
No. Presenter laptops cannot be accommodated. All presentations must be delivered using the PDA-provided computer.
Can I invite my colleague to attend my presentation?
All attendees must be registered for the event in order to attend any session.
I am not feeling well. What should I do?
If you are not feeling well, have symptoms, or have tested positive for any contagious conditions, please use precautions to prevent spread, including staying home and away from others. Contact your PDA program lead as soon as possible to discuss your options, and if at an event already, isolate yourself to minimize community spread.
Post-Event Presentation Access
Will attendees get a copy of my presentation?
Yes. After you upload your slides in the Conference Harvester portal, PDA will share them as a PDF via the event app or by email after the event.
Can I reuse my presentation later?
Yes. You keep full rights to your slides. We simply ask that you wait until after the conclusion of the PDA event to share your content publicly.
